Tame your email and calendar

With Outlook on the web and on your mobile devices, you can easily manage your email and calendar wherever you are. In this tutorial, you will learn how to organize your messages using a mobile device, share documents on the cloud, and reschedule appointments when your day changes.

Manage your Inbox

Learn how to get a head start on your Inbox with Outlook on a mobile device. With Outlook, you're all set to work on your email from wherever you are, using your smartphone. Watch the video to see how this works on an iPhone, and scroll down to see how to perform this task on any mobile device that runs Outlook.

The following procedure describes how to perform tasks on a mobile device.

To manage your Inbox on a mobile device

  1. From Outlook, tap Focused to see your high priority emails.

  2. Tap Filter, then tap Unread to see just the messages you haven't read yet.

  3. Swipe right to archive a message. This marks the message as read, and moves it to your email's Archive folder.

  4. Swipe left to schedule a message. This holds the message until the time you select. The message will appear in your Inbox at the time you selected with it's original timestamp.

The following procedure is optimized for Outlook on the Web.

To check a teammate's availability

  1. From Outlook mail, select an email from the person you wish to contact.

  2. Check the person's presence indicator (on the left side of their picture) to see if they are available.

    NOTES: Presence statuses include:

    • Green: available

    • Red: busy

    • Yellow: away

    • Gray: offline

  3. Select the person's picture to reveal the Skype for Business quick menu.

  4. Select the icon of the type of message you wish to send.

The following procedure describes how to perform this task using Outlook on the Web.

To send a Modern Attachment

  1. In Outlook on the Web, start a new email.

  2. Select the Attach file icon in the toolbar. It looks like a paperclip.

  3. Navigate to the file you which to attach, select it, and select Open.

  4. Select Attach as a OneDrive file.

  5. Select Send.

Command your calendar

Learn how to easily reschedule an appointment on your calendar using Outlook on the Web.

The following procedure is optimized for Outlook on the Web.

To reschedule an appointment

  1. Open the appointment you wish to reschedule, and select Scheduling assistant to view the schedules of everyone invited to the meeting.

  2. Select the new time for the meeting.

  3. Select Change room to select a new conference room, if necessary, and then select OK.

  4. In the Details pane, enter a note explaining the new time for the meeting.

  5. If you wish, select Skype meeting, then select Add Skype meeting to give attendees the option to attend remotely via Skype.

    Select No on the Change location dialog box if you want to keep the physical meeting location, but give attendees the option to attend via Skype. Select Yes if you want to change the location of your meeting "Online meeting."

  6. Select Send.

The following procedure is optimized for Outlook on a computer running Windows.

To view a teammate's schedule

  1. From Outlook, select New Meeting or New Skype Meeting.

  2. Select Click here to add a name and enter the name of the person who's schedule you wish to view.

  3. To schedule a meeting with that person, select a time on the timeline when you both are free, and select Appointment to write and send the invitation.
