The following procedure describes how to perform tasks on a computer running Windows. To see instructions for other devices, see Specific "how to" instructions for your device

To IM someone from Outlook on your PC

  1. Open Outlook and click on an email from someone you'd like to IM--so that the email is displayed in the reading pane.

  2. Check the person's presence indicator to see if they are available. (Their presence indicator is the colored bar on the left side of their picture.) Green means they are available.

  3. Hover over their picture to reveal the Skype for Business quick menu.

    (You can also hover over any person or alias in the To or Cc line to reveal the quick menu.)

  4. Click the IM icon to open the Skype for Business IM window.

  5. Type your message and click Enter or the Send button (which looks like a paper airplane ).

 

Specific "how to" instructions for your device

Android phone and tablet

The Skype for Business presence indicators and quick menu are not available with Outlook for Android.

To IM someone from your Android phone or tablet

  1. In Skype for Business for Android, type the person's name in the Search box, or click the person's name in the Recent list, or tap the Contacts icon and then tap their name in the Contacts list.

  2. Tap the IM icon. It looks like a speech bubble.

  3. Enter your message at the bottom of screen where it says Type a message....

  4. Tap the Send button (which looks like a paper airplane).

iPhone and iPad

The Skype for Business presence indicators and quick menu are not available with Outlook for iOS devices.

To IM someone from your iPhone or iPad

  1. In Skype for Business for iPhone or iPad, type the person's name in the Search box, or click the person's name in the Recent list, or tap the Contacts icon and then tap their name in the Contacts list.

  2. Enter your message at the bottom of screen where it says Type a message here.

  3. Tap the Send button (which looks like a paper airplane).

Windows phone

The Skype for Business presence indicators and quick menu are not available with Outlook on the Windows Phone.

To IM someone from your Windows phone

  1. In Skype for Business for Windows Phone, tap the Search icon, then type the person's name in the Search box, and tap them in the results. Or tap the person's name in the Skype for Business Contacts or Recent list.

  2. Tap the IM icon. It looks like a speech bubble.

  3. Tap Tap to type, and enter your message.

  4. Tap the Send button (which looks like a paper airplane).

Mac

Skype for Business is currently not available for Mac OS X.

Office Online (browser on all devices)

To IM Someone from Outlook on Office Online

  1. In Outlook on Office Online, click on a contact to show their Skype for Business quick menu.

  2. Click the IM icon to open the Skype for Business IM window.

  3. Type your message and press Enter.

To send a Skype for Business IM on your PC

  1. From Outlook, hover over the contact's picture and click the Quick IM icon. .

  2. Type away. It's easy to add an emoticon. Click the Choose a Smiley button in the right side of the typing area to access the emoticons. Here are some you can choose from: 

  3. Click Send to send your message to the other person. They'll receive it on their computer or other device on which they have Skype for Business installed.

PC

To send a Skype for Business IM

  1. In Outlook 2016, hover over a contact's picture to reveal the Skype for Business quick menu.

  2. Click the IM icon.

  3. Type your message and click Enter or the Send button (which looks like a paper airplane).

Android phone and tablet

The Skype for Business presence indicators and quick menu are not available with Outlook for Android.

To send a Skype for Business IM from your Android phone or tablet

  1. In Skype for Business for Android, type the person's name in the Search box, click the person's name in the recent list, or tap the Contacts icon and then tap their name in the Contacts list.

  2. Tap the IM icon. It looks like a speech bubble.

  3. Enter your message at the bottom of screen where it says Type a message....

iPhone and iPad

Windows phone

To send a Skype for Business IM from your Windows phone

Add people and video to a conversation

To add another person to an IM conversation on your PC

  1. From the Skype for Business IM window, click the Invite More People button. 

  2. In the Send an IM window search box, type the name of the person you want to pull into your IM conversation. As you type their name, the results list narrows.

  3. When you see their name in the results list, click it. 

    That person will get an invitation on their PC or device. You can verify that they are in the IM conversation by noting the number of participants at the top of the window--which should have increased by one.

To switch from an IM conversation to a video conversation

  1. From the Skype for Business IM window, click the Video call button. 

  2. A video preview (of you) appears so you can make any necessary camera adjustments. Click Start My Video when you're ready.

    The meeting window appears and shows live video of you and whoever else has chosen to show video of themselves. If anyone has not chosen to show video, their Office profile picture appears instead. 

  3. To turn off video, just click the video button again. Toggling the video button only stops live streaming from your camera--you'll still be in the meeting and able to hear what is being said and see what is being presented.

Android phone and tablet

  2. Tap Add Participants.

  3. Tap the name of the person you want to invite.

  1. From the Skype for Business IM window, tap the Video call button.

  • You cannot add another person to an IM conversation in Office Online.

To switch from an IM conversation to a video conversation

  • You cannot add switch from an IM conversation to a video conversation in Office Online.

Desktop sharing

Learn how to share whatever is open on your desktop with other Skype for Business meeting attendees.

NOTE: You cannot share your own desktop or view another person's shared desktop on an Android device. iOS devices can see desktops but cannot share them. See specific information for your device below.

To share your desktop on your PC

  1. Open one or multiple files or applications on your desktop. Make sure no sensitive information is visible--whatever you see, others in the meeting will also see.

  2. From the Skype for Business meeting window, click the Present button, then choose Present Desktop

    Now anything that you do on your desktop (like moving windows around or making them bigger or smaller), or within apps (like making changes to a Word document) everyone in the meeting will also see in real time.

 

Specific "how to" instructions for your device

Android phone and tablet

You cannot share or view a desktop with an Android device.

iPhone and iPad

If you have an iOS device and are in a conference call or Skype meeting, attendees with Skype for Business on Windows can share their desktop with you, but you cannot share your screen with them.

Windows Phone

If you have a Windows Phone and are in a conference call or Skype meeting, attendees with Skype for Business on Windows can share their desktop with you, but you cannot share your screen with them.

Mac

Skype for Business is not available for Mac OS X.

Office Online (browser for all devices)

To share your desktop

  1. Open one or multiple files or applications on your desktop. Make sure no sensitive information is visible--whatever you see, others in the meeting will also see.

  2. From the Skype for Business meeting window, click the Present button, then choose Present Desktop.

    If you have multiple monitors, you'll be able to choose the monitor you would like to share with the meeting attendees.

  3. Click Present.

    Skype for Business will remind you that everyone in the meeting will be able to see everything on that screen. Do a quick check to make sure you're okay with that, then click OK. You'll see a yellow border around the screen, along with presentation controls at the top--that's how you'll know what you're presenting.

    Now anything that you do on your desktop (like moving windows around or making them bigger or smaller), or within apps (like making changes to a Word document) everyone in the meeting will also see in real time.

Schedule a follow-up Skype for Business meeting

When you need a more formal meeting to get things decided, make it a Skype for Business meeting. Learn how to schedule a Skype for Business meeting from an Outlook email.

To schedule a Skype for Business meeting from an Outlook email on your PC

  1. From Outlook, select the email that prompted the request for a meeting.

  2. In the Outlook ribbon, click the Reply with Meeting button in the Respond group. 

    A new meeting invitation opens, already populated with the names of each person or email alias on the email thread. Outlook also includes a copy of the original email for people to refer to, and makes the meeting subject the same as the Subject in the email. You can make changes to any of these if you want to.

  3. In the Meeting window ribbon, click the Scheduling Assistant in the Show group. Find a date and time that works for everyone. 

  4. Click the Skype Meeting button in the ribbon to make it an online meeting. 

    Notice that "Join Skype Meeting" info is added to your meeting body.

  5. Click Send.

 

Specific "how to" instructions for your device

Android phone and tablet

You cannot schedule a Skype for Business meeting using Outlook for Android, but you still have some options:

  • If your meeting is small (just a few people) you could schedule it as a regular meeting in Outlook for Android, and then when the meeting starts, use Skype for Business on your Android device to call attendees. (Use the Dialpad to call the first person, then click the More button (ellipsis) and choose Add participant to add more people.)

  • If your meeting is larger, your best bet is to make it a Skype for Business meeting using your PC or iOS device.

    NOTE: Although you can't schedule a Skype for Business meeting using Outlook for Android, you can still joina Skype for Business meeting on your Android device!

iPhone and iPad

To schedule a Skype for Business meeting on the iPhone and iPad

  1. From the email that prompted the request for a meeting, tap the Back arrow to return to your Inbox.

  2. Tap the Calendar icon.

  3. Tap the + symbol at the top of the Calendar screen.

  4. Enter a meeting title, time, and the attendee names.

  5. Tap the Skype Call switch to make it an online meeting.

  6. Enter any other information you need.

  7. Tap Save at the top of the screen.

Windows Phone

You cannot schedule a Skype for Business meeting using Outlook for Windows Phone, but you still have some options:

  • If your meeting is small (just a few people) you could schedule it as a regular meeting in Outlook for Windows Phone, and then when the meeting starts, use Skype for Business on your Windows Phone to call the attendees. (Tap the first person's contact pic, then tap the Call or Video call button. Click the ellipsis to add the others to the meeting.)

  • If your meeting is larger, your best bet is to schedule it as a Skype for Business meeting using your PC or iOS device.

    NOTE: Although you can't schedule a Skype for Business meeting using Outlook for Windows Phone, you can still join a Skype for Business meeting on your Windows Phone!

Mac

Skype for Business is not available for Mac OS X.

To schedule a Skype for Business meeting from an Outlook Online email

  1. From Outlook Online, select the email that prompted the request for a meeting.

  2. Click on a contact to show their Skype for Business quick menu. Click the Schedule an event icon. It looks like a calendar page.

  3. A new meeting invitation opens, already populated with the name of the person or email alias you selected.

  4. If you wish to add another attendee, enter their name where it says Add people. Click on their name to add them to the Attendees list.

  5. Click the Scheduling Assistant to find a date and time that works for everyone.

  6. Click Skype Meeting > Add Skype meeting in the menu bar to make it an online meeting.

    Notice that the "Join online meeting" link and info is added to your meeting body.

  7. Click Send.
